Shared Services Bookkeeping Support Specialist

Job DescriptionJob DescriptionJob DescriptionThe Shared Services platform is intended to add creative capacity to arts organizations by reducing overhead expenses provide support to build new and enhanced revenue-generating programs.
Shared services provide collective purchasing power, efficiency, and quality resources, allowing staff to focus on mission-driven and earned revenue activities.
Services may include financial reporting, budget preparations, contract negotiations, website support, etc.
Many small and emerging organizations are understaffed; some rely on board members to fulfill staff duties.
The shared service program provides the opportunity for arts organizations to concentrate on building capacity, expanding programming, and growing their impact and service to our community.
As arts organizations plan for the future, these services will be an important part of their success in recovering and improving their fiscal health.
Responsibilities:
Finance o Enter invoices and classify expenses for Shared Services clients and for The ACGG as needed o Enter receipts and classify income for Shared Services clients and for The ACGG as needed o Complete monthly bank reconciliations for Shared Services Clients and for The ACGG as needed o Enter and classify data in QuickBooks o Maintain communication with Shared Services Clients via email and telephone and occasional in-person meetings o Assist in the preparation of regularly scheduled financial reports for Finance office and Shared Services Clients o Assist in the preparation of end-of-year tax documents, including 1099s for independent contractorsAdministration o Research and create presentations as needed o Produce and distribute correspondence memos, letters, and forms o Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
o Maintain computer and manual filing systems o Handle sensitive information in a confidential manner o Occasionally greet and assist visitors to the office o Photocopy and print out documents on behalf of other colleaguesRequirements:
Knowledge of bookkeeping and GAAP Excellent time management skills and ability to multi-task and prioritize work Attention to detail and problem-solving skills Excellent written and verbal communication skills Strong organizational and planning skills Proficient in MS Office Suite Proficient in QuickBooks Software Skills & Proficiencies:
